Get started with InvoiceFlows

Send your first invoice in under 5 minutes. Then explore settings, payment tracking, and automation at your own pace.

Quick Start

Do these 4 things and you're up and running.

Sign up and add your company name

Create your account with an email and password. After verifying your email, go to Settings → Company Details and enter your company name and reply-to email.

Tip: Your 30-day free trial starts immediately — no credit card required.

Create your first invoice

Go to Invoices → New Invoice. Enter the client's name and email, add line items with amounts, and set a due date. That's all you need.

Send it to your client

Check "Send to client" when creating the invoice, or click "Send Invoice" from the invoice detail page. The AI writes a professional cover email and attaches your branded PDF.

Turn on automated reminders

On the invoice detail page, toggle "Automated Reminders" on. InvoiceFlows handles the rest — reminders escalate from friendly to firm automatically, and stop the moment you mark the invoice as paid.

That's it — you're set up. Everything below is optional and can be configured anytime.

Settings

Customize InvoiceFlows to match your business. All settings are in one place — click Settings in the sidebar.

Company details

Set your company name, reply-to email, and brand voice. Your company name appears on every invoice and email. The brand voice tells the AI how to write — e.g. "friendly and casual" or "formal and polite."

PDF invoice template

Upload your logo, pick a brand color, and add your business address. Every reminder email attaches a branded PDF with your customizations. Preview with sample data before sending.

Reminder schedule

Configure when reminders send relative to the due date. Negative offsets (e.g. -3) send before the due date. Positive offsets (e.g. 7, 14) send after. Tone escalates automatically: Friendly → Professional → Firm → Urgent → Final Notice.

Custom email domain

Optional. Send reminders from reminders@yourdomain.com instead of the default address. Enter your domain, add the DNS records we generate, and click "Check Status." Your domain provider (GoDaddy, Namecheap, etc.) will have a DNS settings section.

Invoices

Create, send, and track invoices from the Invoices page.

Create an invoice

Add the client's name, email, and phone. Add up to 5 line items with descriptions and amounts. Set the issue and due dates. Invoice numbers are auto-generated, or enter your own.

Send to your client

The AI writes a professional cover email using your company name and brand voice. Your branded PDF is attached automatically. Clients get a response link so they can mark it paid, request contact, or flag a dispute — without calling you.

Record payments

When a client pays, click "Record Payment" on the invoice. Log the amount, date, and method. Partial payments are fully supported — the remaining balance is shown on the invoice and reflected in future reminders. Mark as Paid to stop reminders.

Payment links

Add a payment URL (Stripe Payment Link, PayPal.me, Venmo, or any payment page) to your invoice. It becomes a "Pay Now" button in both the email and the attached PDF. Optional but recommended.

Photos & attachments

Attach up to 10 photos per invoice — before/after shots, signed quotes, material receipts. Supports JPEG, PNG, WebP, and HEIC. Photos are stored securely and visible on the invoice detail page.

Client responses

Every reminder includes a response link. Clients can respond with "I've paid," "I'll pay within 7 days," "Dispute," or "Contact me." Their response shows up in the invoice activity timeline so you can follow up.

A quick view of your latest invoices with status, amount, and client name. Click any invoice to view details, send reminders, or record payments.

Managing your subscription

Subscribe from the Pricing page or Settings → Billing. Once subscribed, manage your payment method, view invoices, or cancel anytime through the Stripe billing portal. Your data is preserved if you cancel.
