How does the AI write reminders in my voice?
When you set up your account, you describe your brand voice (casual, professional, direct, etc.). The AI uses this along with invoice details to write each reminder from scratch — no templates. Every email sounds like you wrote it.
Can I review reminders before they send?
Yes. You can preview AI-generated reminders before they go out and edit them if you'd like. You can also set reminders to send automatically on your schedule if you prefer a hands-off approach.
What happens when a client pays — do reminders stop?
Instantly. Mark an invoice as paid (full or partial) and all future reminders for that invoice stop. If it's a partial payment, future reminders reflect the updated balance.
Does this integrate with QuickBooks / Stripe / Xero?
QuickBooks Online and Stripe integrations are live — invoices sync automatically and reminders stop when payment is confirmed. Jobber, Xero, and Housecall Pro integrations are coming soon. You can also create invoices directly in InvoiceFlows or import them via CSV.
Can I send invoices from my own email address?
Yes. Verify your domain through a simple DNS setup and all reminders and invoices will be sent from noreply@yourbusiness.com. Without a custom domain, emails come from our default address.
What if a client emails back?
Every reminder includes a response link where clients can mark an invoice as paid, flag a dispute, say payment is coming, or request a callback. You get an instant email notification when they respond.
How is this different from QuickBooks' built-in reminders?
QuickBooks reminders are static templates. InvoiceFlows writes each reminder with AI, escalates tone automatically over time (friendly to firm to final notice), and includes a client response system — so you know exactly where each invoice stands.
Is this legal? Can I add late fees automatically?
Sending payment reminders is completely legal. Late fee laws vary by state — InvoiceFlows lets you include late fee language in reminders, but check your state's rules on maximum rates. We're not a law firm and this isn't legal advice.
Do you handle partial payments?
Yes. Record payments as they come in, and the balance due updates automatically on all future reminders and invoices. Payment history is tracked on each invoice's detail page.
What's the cancellation policy?
Cancel anytime from your settings page or the Stripe billing portal. Your account stays active until the end of the current billing period. Your data is preserved even after cancellation.
How is my data protected?
All data is stored on AWS with encryption at rest and in transit. Authentication is handled by AWS Cognito. We don't sell or share your data. You can delete your account and all associated data at any time.
Do I need a business email or can I use Gmail?
You can sign up with any email, including Gmail. For the best deliverability and professional appearance, we recommend verifying your own business domain — but it's optional.
